Duties And Responsibilities

The successful candidates will be responsible for supporting office administration, secretarial services, records handling, communication, and general clerical duties. Key duties and responsibilities include:

  • Typing all general correspondence and non-confidential matters.
  • Typing letters, minutes, notices, bulletins, circulars, certificates, charts, and stencils.
  • Printing reports, letters, and other official documents.
  • Taking proper care of all machines under their charge and ensuring they are used for official work only.
  • Filing copies of typed letters in relevant files.
  • Receiving and directing visitors.
  • Attending telephone calls and taking messages.
  • Performing any other related duties as may be assigned by the supervisor.

Qualifications

Applicants must meet the following qualification requirements:

  • Holder of a Form IV Certificate of Secondary Education with passes in:
    • Kiswahili
    • English
  • Must also hold a Diploma in one of the following:
    • Office Management
    • Secretarial Studies, NTA Level 5
  • The qualification must include:
    • 100 words per minute shorthand speed
    • 50 words per minute typing speed
    • Tabulation and manuscript stage II
    • Secretarial duties
    • Office procedure stage II
  • The qualification must be obtained from a recognized institution.
