    The job holder exercises operational control, directs the execution of company policies and procedures and ensures that all departmental activities—including operations control, personnel, and trucks—comply with company standards.

    Key duties and responsibilities

    The Operations Manager will:

    • Ensure truck turnaround to achieve 500 kilometres per day, including the budgeted monthly revenue.
    • Plan, develop, organize, direct, manage, and evaluate the various routes in line with business development activities.
    • Direct staff activities relating to transportation operations, including dispatching, routing, and tracking trucks.
    • Plan, develop, and implement transportation health, safety, and security programmes and activities, including the Quality Management System (QMS) and Occupational Health and Safety (OH&S) system.
    • Direct and manage regulatory compliance procedures related to transportation activities.
    • Manage key performance indicators to measure the effectiveness and efficiency of transportation operations.
    • Conduct investigations in conjunction with SHEQ to determine the causes of accidents and improve safety procedures.
    • Direct investigations to verify and resolve customer complaints and manage Service Level Agreements.
    • Mentor and develop operations staff.
    • Recommend capital expenditures for acquiring new trucks, equipment, or property to improve the efficiency and effectiveness of transportation operations.
    • Manage the performance of operations staff.
    • Resolve customer complaints together with the Commercial Manager.
    • Prepare weekly, monthly, quarterly, and annual operations reports for management.
    • Manage stock control and verify the accuracy of inventory records.

    Qualifications and experience

    Applicants must have:

    • A bachelor’s degree in Logistics and Supply Chain Management or Business Management.
    • A minimum of five years of working experience in a managerial position within the logistics field.

    Key job purpose

    The Head of Commercial will be the focal point of contact between the company and customers, ensuring that customers receive seamless, quality-assured, cost-effective, consistent, and reliable end-to-end integrated logistics services.

    The role will also protect the company’s interests by ensuring that the company receives its rightful and contractual benefits on time and according to the relevant agreements.

    The Head of Commercial will provide leadership and direction to ensure the smooth functioning of the company’s overall commercial operations. This will increase productivity through efficient customer recruitment, customer-maintenance strategies, and price negotiation.

    Key duties and responsibilities

    Customer relationship management

    • Maintain the current customer base by driving efficiencies to ensure contracts remain financially viable and are delivered within budget.
    • Develop and prospect for new business by:
      • Researching the market.
      • Participating in tenders.
      • Submitting quotations on time.
      • Following up on quotations until business deals are closed.
      • Visiting and meeting recruited and potential customers.
      • Calling customers.
      • Making introductions and selling the company’s products.
    • Use knowledge of the market and competitors to identify and develop the company’s unique selling propositions and differentiators.
    • Identify opportunities that will lead to an increase in the customer base.
    • Ensure customers’ complaints are properly registered, managed, addressed, and resolved, and that feedback is shared with all stakeholders.
    • Champion the price-review process according to prevailing market conditions or contract terms.
    • Ensure revised and agreed prices are communicated to all stakeholders on time.
    • Ensure cut-off times for uplifted shipments are clearly indicated and understood by all stakeholders.
    • Manage contracts and ensure compliance with Know Your Customer (KYC) procedures.
    • Ensure active contracts are in place for assigned clients, accounts, and new accounts.
    • Prepare quotations and follow up on customers’ consideration and confirmation.
    • Conduct surveys and visits and make calls to ensure a robust pipeline of opportunities.
    • Analyse business performance, including profitability, revenue, pricing, and CVP.
    • Participate in customer service and troubleshooting activities.

    Customer service delivery

    • Forecast sales for the coming weeks and months.
    • Ensure compliance with all third parties, including BIVAC, Ogefrem, shipping lines, TRA, TPA, TBS, and GCLA, for all shipments requiring the same for smooth and timely loading, delivery, clearance, and offloading.
    • Ensure all customer queries and inquiries are answered within a reasonable time, preferably within 24 hours.
    • Ensure all extra charges, including standing time, storage, demurrage, customs warehouse rents, and removal charges, are clearly communicated to customers.
    • Ensure the accountable party confirms the extra charges to facilitate easy and smooth compensation.
    • Ensure exceptional service levels for clients by adhering to process-flow timelines under the Standard Operating Procedure (SOP), turnaround time (TAT), and contract terms.

    Cash collection

    • Ensure customers’ statements of accounts are reconciled, up to date, and shared with customers as frequently as stipulated in the relevant agreements.
    • Ensure invoicing procedures are clearly communicated to facilitate correct invoicing.
    • Ensure all extra charges are fairly confirmed by customers and billed on time.

    Reporting

    • Ensure all reports on clearance status, delivery tracking, standing time, and related activities are up to date, contain the correct details and status, and are shared with customers according to the agreed timelines and frequencies.
    • Ensure all reports on performance evaluation, business reviews, truck turnaround time, price reviews, and pipelines are discussed with the customer and submitted to the managements of both parties on time.
    • Prepare post-mortem reports after shipment deliveries by identifying achievements and areas for improvement, and share the reports with the customer and management.
    • Conduct a monthly performance self-assessment evaluation, have it reviewed and signed off, and implement all generated actions to improve personal performance, if required.
    • Review weekly and monthly reports and discuss them with management, including:
      • Targets versus actual performance.
      • Shipment delivery status.
      • Market research.
      • Post-mortem reports.
      • Cash collections.
    • Perform any other task assigned by management.

    Qualifications and experience

    • Bachelor’s degree in Business Administration (Marketing) or any related field.
    • Minimum of eight years of working experience in a managerial or senior position within the logistics field.

    • Anticipate barriers to change and associated risks, and work to remove them.
    • Work with leaders to assess the capabilities of their teams and help develop capability-building plans covering recruitment, training, coaching, communication and other relevant areas.

    Learning and development

    • Support and coach managers in understanding and addressing industrial-relations issues.

    Employee engagement

    • Review feedback from various business reports, including exit interviews and KPI scorecards, to understand issues associated with engagement within GALCO Transport departments.
    • Coach managers to use all opportunities, including one-on-one meetings and career discussions, to promote strong engagement.

    Qualifications and experience

    • Degree in Business, Human Resources Management or Social Sciences.

  • Qualifications and experience

    • VETA Level 3 certification in Mechanical or Electrical Engineering.
    • Minimum of three years’ experience in a similar position.
    • Experience working with Krones, Sidel, or KHS machines is highly preferred.
    • Previous experience in the beverage manufacturing industry is an added advantage.
    • Strong technical and troubleshooting skills.
