Fleet And Training Supervisor at TotalEnergies

Context & Environment

  • Managing transport activity in a difficult environment due   to:
    1. The difference between local regulations and PATROM.
    2. The level of safety awareness of drivers and transporters
    3. The level of performance of some transporters
  • Coordinating with different departments to ensure timely deliveries in a safe manner

                  Customer Service department, Depot managers, and the affiliate HSEQ manager

Activities

  • HSEQ
  1. Ensure deployment of the PATROM rules and Branch standards and local regulations.
  2. Enforce HSEQ rules and procedures concerning transport activity.
  3. Quality Control of products to be within Tanzania quality specifications as per TBS.
  4. Participate in accident/incident analyses with the HSEQ Manager. 
  5. Implement the corrective and preventive actions defined following accidents and incidents (in Tanzania or in the group)
  6. Put in place controls to prevent fraud during product transport
  7. Assist transporters on the implementation of safety management system for transporter
  • FLEET SUPERVISION
    1. Participate in internal/external transport audits and manage the follow-up action plan. (SMS, SMT, ICT…)
    2. Implement a follow up for the transportation action plan 
    3. Implement and follow up operations and vehicle inspections (Roadworthiness, Vetting, safe to load)
    4. Implement and follow up transportation activity KPIs
    5. Determine size of fleet
    6. Implement the corrective and preventative actions defined following accidents and incidents
    7. Before the integration of a new truck into the fleet, manage all the acceptance procedures
    8. Validate and communicate the list of approved vehicles 
    9. Carry out trend analysis of technical anomalies recorded and put forward action plans to reduce them
    10. Vetting vehicle in the fleet
    11. Carry out spot checks on equipments
    12. Inspect vetting quality
    13. Validate and communicate of the list of approved  vehicles
    14. Assess the performance of transporters
    15. Optimize the performance of the fleet to reduce transportation costs
    16. Act as an interface between transporters, clients and the depots to optimize the delivery flows
  • TRAINING 
  1. Coordinating Drivers training as per PATROM standards, make sure training program (including theory, practical, assessments) prepared and implemented.
  2. Work together with transporter to achieve training objectives and make sure training procedure is developed 
  3. Check the quality of the training dispense to the drivers
  4. Monitor drivers deadlines (Regulatory training, PATROM, Preventative training, medical check etc)
  5. Validate and communicate the list of accredited drivers
  6. Work together with transporter to prepare and circulate Toolbox meetings topics
  7. Carry out spot checks on driver
  8. Carry out spot checks on compliance with procedures (depot, station, transporter) 
  9. Train safe to load Operators
  10. Raise awareness and motivate the team of safe to load about the safety of transport operations.
  11. Set up toolbox meetings with drivers and transporters
  • OTHERS
  1. Cross-check correctness of  transport invoices

Candidate Profile

– Bachelor’s degree in Engineering or Logistics. Good knowledge and experience of petroleum industry operations.

– Minimum 3 years experience in a similar position. Leadership abilities and be capable of working without supervision.

– Strong adherence to safety policies and regulations.

– Ability to understand complex processes and how they affect information systems.

– Negotiation abilities, rigor, high integrity standards, resistance to stress and ability to anticipate and react quickly.

             – Fluent in MS Office.

Stock controller at TotalEnergies

Context & Environment

Close coordination with;

  • Internally: OM, LM, supply team, internal auditor, Commercial department, finance department, Depot Managers
  • Externally: Customers, Government institutions such PBPA etc.

Activities

  • HSEQ: Respect of the Golden rules and all the HSE rules and standards of TOTAL by all the staff, contractors, customers…
  • Carryout end of month and surprise stock taking bulk and lubes on various depots.
  • Update master daily stocks report file (DSR).
  • Reconcile excel DSR/Tom D/ weekly and Performance report monthly.
  • Monitor stocks movements on weekly basis to control any fraud or inappropriate stock transfer.
  • Monitor loss/ gain and to report to DM the reasons and action to be carried out.
  • Prepare summary monthly performance reports for all depots and circulate the same to loss committee members. 
  • Proper stock monitoring of stock at JNIA to avoid stock out.
  • To coordinate with depots managers and follow-up stock replenishment on upcountry depot 
  • Update electronic lubes report file on daily basis
  • Cross check if movements recorded matches with lubes movements’ reports for all depots. 
  • Confirmation of in the system depot to depot transfer and receipt. 
  • Reconcile JNIA and KIA figure and send report to finance on monthly basis. 
  • To promote teamwork.
  • Compliance to the Government Statutory and Labour Laws.
  • Minimize our stocks in other terminal especially for prorated volumes
  • Prepare and animate the monthly loss committee meetings.

Candidate Profile

  • Bachelor Degree in Business related fields
  • Must be computer literate.
  • At least five years of experience in handling stock management.
